Convert QuickBooks Desktop to Online: QuickBooks Desktop to Online Migration Without Losing Bank History
Intuit moves the company file. It does not move the part most people care about on day one: a bank register you can actually reconcile. Statements fill that gap, in whatever date range you need.
Quick answer
Converting QuickBooks Desktop to Online is a one-way export run from inside Desktop, and Intuit requires it to be finished within 60 days of creating the QuickBooks Online company. Lists, open balances and transaction history generally come across. Reconciliation history, most payroll detail, budgets, memorized transactions, custom templates and bank connections generally do not. Once you are in QuickBooks Online, a newly connected bank feed reaches back only about 90 days, so any earlier period has to arrive as a file. Converting the PDF statements you already have into QBO files is how most firms rebuild that history and get a clean first reconciliation.

What does not transfer from QuickBooks Desktop to Online
The migration is better than its reputation. The problem is that the parts it skips are the parts a bookkeeper needs first, so the file looks converted and then fails the first month-end. Here is the split, ordered by how much rework each row creates. Treat it as a planning table rather than a promise: exactly what carries over shifts with your Desktop edition, your payroll setup and the release you are on, so verify the rows that matter to you against Intuit before you commit to a date.
| What you have in Desktop | Comes across | What that means for you |
|---|---|---|
| Chart of accounts, customers, vendors, items | Yes | Clean these up before you migrate, not after. Duplicate vendors and dead accounts convert perfectly happily and then live in QuickBooks Online forever. |
| Open invoices, bills and balances | Yes | Clear unapplied payments and stray credits first. Anything unapplied in Desktop is still unapplied in QuickBooks Online, and it is harder to see there. |
| Posted transaction history | Usually | Subject to the file being eligible on size. Large inventory and payroll files are where practitioners report the most discrepancies. |
| Reconciliation history and reconciled status | No | The single most expensive row here. Transactions arrive uncleared, so your first QuickBooks Online reconciliation starts from an unreconciled register and has to be rebuilt against statements. |
| Payroll history and payroll item detail | Mostly no | Employee level year to date figures and item breakdowns usually need setting up by hand. Migrating between quarters, ideally at a year boundary, saves the most work. |
| Bank and credit card connections, banking rules | No | Every account is reconnected from scratch in QuickBooks Online, which is what triggers the 90 day feed problem described below. |
| Budgets and memorized transactions | No | Export budgets to a spreadsheet before you start. Recurring transactions are rebuilt in the QuickBooks Online recurring list, which is a different feature with different rules. |
| Custom form templates, custom and memorized reports | No | The two products build forms and reports differently, so these are recreated rather than converted. Save the important ones as PDFs first so you have a reference. |
| Price levels, some user roles and permissions | No | Rebuilt in QuickBooks Online using its own pricing and access model. Note who has which role in Desktop before you switch anyone over. |
| Attachments and third-party app connections | No | Every integration is reauthorized against the new company. Budget an afternoon for the apps alone if you run more than two or three. |
The 60 day rule that catches people out
A Desktop import overwrites everything in the QuickBooks Online company it lands in, so Intuit only permits it while that company is new. Its published limit is 60 days from the date the QuickBooks Online company was created, and the clock includes any time the company spent as a free trial.
That trips up the most sensible sounding plan there is: sign up for QuickBooks Online, spend a couple of months learning it and entering a few transactions by hand, then bring the real file over once you are comfortable. By then the window has closed, and the company you have been practicing in can no longer receive the import.
Firms working inside QuickBooks Online Accountant get a considerably longer window for client files, and support can sometimes extend a date on request. Ask before you assume either applies to you. Because these rules are Intuit policy rather than anything fixed, confirm the current window on Intuit support before you book the work.
If the window has already closed, you are not stuck. You create a fresh QuickBooks Online company and rebuild it, and bank statements are what you rebuild the registers from. That path is covered step by step in what to do when the QuickBooks Online 60 day migration window has closed.
Check the file is eligible before you book the work
Press F2 or Ctrl+1 in QuickBooks Desktop to open Product Information and read the target count. Intuit sets a ceiling on how large a file it will accept, published at fewer than four million targets. In practice, QuickBooks solution providers report data discrepancies well below that, with roughly 750,000 targets being the point where inventory heavy files start needing attention.
Those are third-party observations rather than a guarantee, and the published ceiling can change, so read the current figure on Intuit support and treat the lower number as a signal to plan for verification time rather than as a hard stop.
Before you press export
- Update Desktop to the current release and back the file up somewhere off the machine.
- Reconcile every bank and card account to the last statement you have.
- Merge duplicate customers, vendors and items, and inactivate dead accounts.
- Clear unapplied payments and open credits.
- Save your key reports as PDFs so you can prove the numbers matched.
- Confirm you have primary admin access to both products.
Why the bank history is the part that breaks
Two facts collide the week after a migration, and neither is obvious in advance.
The first is that reconciled status does not survive the trip. Transactions land in QuickBooks Online without the cleared flag they carried in Desktop, so the register reads as though nothing has ever been reconciled. The balances are right. The audit trail that proves they are right is gone.
The second is that a bank connection in QuickBooks Online is designed to keep an existing ledger current, not to build one. When you connect an account it pulls roughly the last 90 days, with no option to choose a start date, and older transactions simply are not offered. If you migrated a file that starts in 2019, the feed will not fill in 2019.
Put those together and the gap is specific: you need transactions for periods older than the feed will serve, in a format QuickBooks Online imports natively, matched to the statements you will reconcile against. That is exactly what a QBO file is. Your bank has already published every one of those periods as a PDF statement, so the source data is sitting in your online banking, and the only missing step is turning it into the file format QuickBooks expects.
Download the statements
Pull PDF statements from online banking for every period your new QuickBooks Online company needs and the feed will not reach. Most US banks keep between two and seven years available.
Convert each one to QBO
Upload the PDFs and get back QBO files in the Web Connect format, one per account per period. Scanned and photographed statements from older years are read too.
Check the totals first
Compare each converted period against the closing balance printed on the statement. Catching a problem before it posts costs minutes. Catching it after costs a cleanup.
Import and reconcile forward
Upload each QBO file into its matching register, review the queue, then reconcile period by period from the oldest forward until you meet the live feed.
Migrate the file, or start clean in QuickBooks Online
Not every Desktop file is worth converting. A messy one carries its mess across, and the conversion makes it harder to see. This is the honest comparison, including the cases where migrating the file is clearly the better call.
| Your situation | Migrate the Desktop file | Start a clean company and import history |
|---|---|---|
| The Desktop file is accurate and reconciled | Better. You keep years of clean detail for nothing. | Wasteful. You would be recreating work that already balances. |
| The file has never been properly reconciled | You inherit the problem, plus a second platform to debug it in. | Better. Registers built from statements are reconciled by construction. |
| The 60 day window has already closed | Not available unless support extends the date. | The realistic route. A new company plus imported statement history. |
| Heavy inventory or long payroll history | Doable, but this is where discrepancies concentrate. Budget verification time. | Loses the inventory and payroll detail entirely. Rarely the right trade. |
| You only need a few years for tax and lending | Fine, though you are moving far more than you need. | Faster. Import only the periods you actually have to support. |
| Either way, once you are in QuickBooks Online | Reconciled status is gone and the feed reaches back about 90 days, so both routes end at the same place: importing statement periods to close the gap. | |
Who runs into this
Businesses pushed off Desktop
Support for QuickBooks Desktop 2023 ended on 31 May 2026, and Desktop 2024 is reported as the last Pro, Premier and Mac release, with its own support end expected in September 2027. Intuit stopped selling new Pro Plus, Premier Plus and Mac Plus subscriptions during 2024. Enterprise is handled separately. Confirm your own version dates with Intuit, because they move.
Bookkeepers converting clients
You are doing this repeatedly, across clients with different banks and different degrees of mess. The reconciliation rebuild is the billable hour sink, and it is the part that scales worst by hand.
Anyone who missed the window
You signed up, poked around for a few months, then went to import and found you could not. A clean company plus statement history gets you a working ledger without waiting on a policy exception.
Questions people ask before converting
How do I convert QuickBooks Desktop to Online?
You run the export from inside QuickBooks Desktop rather than from the browser. Update Desktop to the current release, open the company file as admin in single user mode, and use the export company file to QuickBooks Online option in the Company menu. You sign in to the destination QuickBooks Online company, confirm the transfer, and Intuit emails you when it finishes.
What does not transfer from QuickBooks Desktop to Online?
Reconciliation history, most payroll detail, budgets, memorized transactions, custom form templates, custom reports, price levels, attachments and every bank connection. Lists, open balances and posted transaction history normally do come across. The reconciliation loss is the one that creates real work, because the register arrives with nothing marked as cleared.
How long does it take to migrate QuickBooks Desktop to Online?
The transfer itself often completes the same day, and Intuit emails you when the file is ready. The surrounding work is the real timeline. Practitioners commonly budget one to three weeks end to end once pre-migration cleanup, verification of the converted numbers, payroll setup and rebuilding history are counted.
Can I migrate QuickBooks Desktop to Online after 60 days?
Not into that same QuickBooks Online company. The import overwrites everything, so Intuit only allows it while the company is under 60 days old, counting trial time. Options are to create a brand new QuickBooks Online company and import into that, ask support whether they will extend the date, or build the new company from bank statements instead.
Does reconciliation history transfer to QuickBooks Online?
No. Transactions arrive without their cleared status and previous reconciliation reports do not come with them. Your first reconciliation in QuickBooks Online therefore starts from an unreconciled register. Working forward from the oldest statement, period by period, is faster and more defensible than trying to reconcile a multi year register in one pass.
How far back can I import bank transactions into QuickBooks Online?
A file import has no date limit, while a newly connected bank feed reaches back only about 90 days. That is the whole reason statement conversion exists in a migration. Importing a QBO file for a period three years old behaves exactly like importing last month, provided your bank still publishes the statement.
Is QuickBooks Desktop being phased out?
For Pro, Premier and Mac, effectively yes. Intuit stopped selling new subscriptions for those during 2024, support for the 2023 versions ended on 31 May 2026, and the 2024 release is reported as the last of that line. Enterprise is being treated separately and continues to be sold and supported. Check your specific version on Intuit support.
Can I convert QuickBooks Online back to Desktop?
There is an export path, but treat the migration as one directional in practice. What comes back is not a like for like copy of what you sent, and the reconciliation and template losses are not reversed by going the other way. Decide before you convert, and keep the original Desktop backup file permanently.
How big can my QuickBooks Desktop file be to migrate?
Intuit publishes an eligibility ceiling based on target count, currently stated as fewer than four million targets, which you read by pressing F2 in Desktop. Solution providers report that inventory heavy files start showing discrepancies far below that. Read the current published figure on Intuit support, and plan extra verification if your file is large.
Should I clean up the file before or after migrating?
Before, without exception. Merging duplicates, inactivating dead accounts and clearing unapplied payments is far easier in Desktop, and anything you leave behind converts intact and then has to be untangled in an unfamiliar interface. An hour of cleanup before export routinely saves a day afterwards.
