Refund Policy
Applies to charges made on or after October 14, 2026
PDFQBO does not give money back for subscription charges, except in the three cases described further down this page. The one-time demo conversion on the home page shows you the extracted transactions before you pay, and you can stop future renewals from your billing settings whenever you choose.
How billing works
Plans are monthly or annual subscriptions with the statement and page limits listed on the pricing page. The charge pays for access to the converter for that period, not for each QBO or IIF file you download. The full allowance is available from the first day of the period, and unused pages do not carry a cash value.
Subscribing is a request that we start the service right away. If a statutory withdrawal right or cooling-off period would otherwise apply to your purchase, you agree that it ends once we begin providing the service at your request.
The three cases where a charge is returned
A duplicate charge. Our billing took payment twice for the same subscription period.
A charge you never authorised. Your card was used without your permission, you tell us within 14 days of the charge, and our account records together with the payment record confirm it. A statement alone does not settle the matter. We may ask you to show that you have reported the misuse to your card issuer.
A complete outage. A fault we confirmed on our side made PDFQBO entirely unusable for a continuous stretch, you reported it while it lasted, and we were unable to fix it. Slower processing, one bank layout parsing badly, or a problem with your computer, browser or QuickBooks file is not an outage.
Each case needs supporting records and covers only the charge in question. A granted refund is capped at what you paid for the affected period, is sent only to the card that was charged, and closes our liability for that charge. It does not create a right to a further refund.
What does not qualify
- You finished catching up on old statements, switched bookkeeping software, or simply changed your mind.
- You converted few statements, or none, during a paid period.
- A renewal went through, whether on the first attempt or after a retry.
- You believed the plan was a one-off purchase. Plans renew automatically, as the pricing page, checkout, confirmation email and billing settings all say.
- You did not cancel before the renewal date, or cancelled right after it.
- An extracted date, payee or amount needed correcting. Extraction is automated, you review transactions before export, and the demo lets you judge the output first.
- A PDF was a scan of poor quality, password protected, damaged, or from a bank layout the converter could not read.
- QuickBooks rejected or duplicated an import because of settings in your company file.
- A feature you expected is not on the pricing page, or works differently from how you imagined it.
- You picked the wrong plan or billing period.
- Time left in a period after you cancel. Access continues to the period end and is not pro-rated.
- Another person, such as a client or a colleague, used your login.
Asking for a refund
Send an email to [email protected] from the address on your account within 14 days of the charge. Give the charge date, the amount and the case that applies. Late requests, or requests made any other way, are not reviewed. We answer in the order requests arrive, without a set response time, and a declined request is final.
Cancelling and renewals
A subscription keeps renewing until you cancel it in your billing settings, which you can do yourself at any time. Cancelling turns off all future renewals at once and keeps your access until the paid period ends. It is not a request for a refund.
When a new period begins, access for it is granted and the fee for it is owed. A declined card leaves the amount owed, and the payment is retried over the next few days against the same invoice, so a retry is not a second charge. Cancelling during the retries stops later renewals but not the invoice for the period already started, and that renewal is not refunded. Cancel before the renewal date in your billing settings if you do not want the next charge.
Chargebacks
Filing a dispute with your bank without contacting us first is a breach of our Terms of Service. The account is then closed for good, and the records below are sent to the card issuer.
Records we rely on
By registering you accept the Terms of Service, which include this policy, and the Privacy Policy. The plan, price, billing period and automatic renewal are shown before payment and repeated in the confirmation email.
For every subscription we keep the purchase time, the plan and price shown at checkout, your acceptance of the terms, the emails we sent, and an activity log of the account covering sign-ins, uploads, conversions and downloads, with technical details recorded as they happened. Our payment operator keeps its own record of each charge, including the card's country, where the payment came from and the result of bank authentication such as 3D Secure. Disputed and unauthorised charge claims are checked against these records.
Earlier subscriptions
Subscriptions purchased before October 14, 2026 keep the refund terms that were published at the time of purchase.
