Why dragging a PDF statement into QuickBooks rarely works

QuickBooks Online does accept a dragged PDF in three places, and the one people find first is the wrong one for a statement. These are the three things that go wrong, in the order bookkeepers usually hit them.

It lands in Receipts

The Receipts tab has the most visible drop zone in QuickBooks Online, so a statement dragged there gets read as a single receipt: one vendor, one date, one total. Forty transactions become one expense to delete. Bank statements belong on the bank account's Upload from file screen instead.

The file is over 350 KB

On the right screen, Intuit's published limit is 350 KB per statement, in English. A two page statement downloaded from online banking often fits. A scanned statement, a quarter of activity, or a PDF with the bank's logo pages usually does not, and gets refused before it is read.

It sits in review

When Online does read a PDF, Intuit says some statements are held for review by its team before the transactions post. A .qbo file skips that queue: it goes straight to For review in your own account, because the transactions are already structured.

The usual reasons are size, language and edition. QuickBooks Online reads PDF statements of 350 KB or less in English, and QuickBooks Desktop reads none. Scanned statements, multi-month PDFs and statements with image-heavy pages exceed the limit. A .qbo file converted from the same PDF is a few kilobytes and imports in both.

Can QuickBooks import a credit card statement from a PDF?
