Most of the time lost here comes from assuming the upload screen is a document uploader. It is a transaction importer, and it only reads four things. The table below is the whole list, with what each one costs you in work after the file is chosen.

Why the CSV route costs more than it looks
A CSV is free, so it looks like the obvious answer. The reason bookkeepers stop using it on client work is that the cost is paid per upload rather than once, and three specific things go wrong often enough to matter.
The column shape is strict
Bank exports carry running balances, check numbers, reference codes and a blank column or two. QuickBooks Online wants exactly three or four columns in a fixed order, so every export needs trimming in a spreadsheet before it will load at all.
Debits and credits flip
Some banks write withdrawals as positive numbers in a Debit column, others as negative numbers in one Amount column. Map it the wrong way once and the register reconciles to a number that is out by twice the month's spending, which is slow to spot and slower to unpick.
It repeats every month
The mapping is not saved in a way that survives a differently shaped export, so the work comes back with each statement and each new client. A .qbo file carries the field labels inside it, so there is nothing to map on any upload.
When a CSV is still the right call
If your bank offers a clean CSV export, you are uploading one account, and the columns already match, use it. It is free and it works. The case for converting the PDF instead starts when the statement is scanned, when the bank's export only reaches back 90 days, when a client hands you paper or PDFs rather than portal access, or when you are doing this for several accounts every month.

Review and match
Transactions land in For review. Match anything QuickBooks already knows about, categorize the rest, then reconcile the period as normal.
Working inside the 350 KB and 1,000 line limits
Two published limits catch people out on catch-up work, and neither error message explains itself well. A file over 350 KB is refused as too large even when it looks small on disk, and anything past 1,000 transaction lines has to be split.
Split by statement, not by year
One monthly statement almost never reaches either limit. Converting statement by statement and uploading in date order keeps every file well inside both caps, and it makes a rejected period easy to isolate. Twelve small uploads beat one that fails at line 1,000 with no clue which rows made it in.
One account per file
Plenty of US banks print checking, savings and a line of credit on one PDF. QuickBooks Online uploads into a single account at a time, so those need to come out as separate files. Check which accounts a statement actually covers before you upload, or the balances will not reconcile.

The client will email PDFs but will not hand over online banking credentials, which is a reasonable position for them to take. Converting what arrives in the inbox is the only route that does not depend on the client doing anything else.
The owner past the feed's 90 day window
Bank feeds typically reach back 90 days at connection. Anything older has to be uploaded, and the only record that far back is usually the PDF statement archive in online banking.
The firm whose client's bank is not listed
Smaller institutions, business credit cards and some fintech accounts never appear in the QuickBooks bank list. For those, manual upload is not a workaround, it is the permanent process.
