A new management company takes over
The outgoing manager hands over a folder of statements and maybe a backup file. You need the current year in QuickBooks before your first board packet, and you do not have the old bank logins.

Why the bank statements have to be in QuickBooks every month
Boards are expected to review the association's money on a schedule, and the review only works if the ledger ties to the bank. In California, Civil Code section 5500 tells the board, unless the governing documents set a stricter standard, to review these items monthly.
Other states set their own rules, and many governing documents ask for the same packet. Either way, a reconciliation needs every statement line in QuickBooks first. A month you only have as a PDF is the month that holds up the packet.

How to import HOA bank statements into QuickBooks
Work one bank account at a time, oldest month first.
Set up one account per bank account
Operating checking, reserve money market, each CD. Give each the opening balance from the first statement you will import.
Convert the statement PDF
Drop the monthly statement in the converter. Check that deposits minus withdrawals match the change in balance before you download.
Import into the matching account
QuickBooks Online uses Upload from file. Desktop uses File, Utilities, Import, Web Connect Files, or IIF on Desktop 2023 and older.

Can you use QuickBooks for an HOA?
Yes. Many self-managed associations and smaller management companies run each community in QuickBooks. Set up separate accounts for operating and reserve funds, use classes or a separate fund structure for reserves, and import every bank statement so the board can see reconciled numbers each month.
How do I import HOA bank statements into QuickBooks?

Which QuickBooks version is best for an HOA?
Most associations use QuickBooks Online because board members can get access from anywhere and statements import from a .qbo file. Desktop works too, but Intuit discontinued the 2023 releases on May 31, 2026, including Web Connect, so older Desktop files need IIF imports instead.
