For church treasurers, finance teams and church bookkeepers

QuickBooks for Churches and QuickBooks Online Church Accounting from PDF Bank Statements

Turn the church's checking, building fund and savings statements into .qbo files QuickBooks imports in one step. Sunday deposits, online giving payouts, payroll, mission transfers and bank fees land in the right register, ready to reconcile before the finance committee meets.

Convert a church bank statement

Drop the monthly PDF, check rows against the ending balance, download .qbo or IIF.

No credit card required to try your first statement.

Quick answer

QuickBooks works well for churches when every bank account is its own QuickBooks account and every designated fund (general, building, missions, benevolence) is a class. For months you only have as PDF statements, convert each statement to a .qbo file, import it into the matching account, assign the fund class and reconcile to the statement's ending balance.

From a church bank statement to fund-tagged QuickBooks entries

A church statement has its own rhythm. The plate offering arrives as one deposit on Monday, online giving arrives as platform payouts a few days later, and money leaves as payroll, utilities, a mortgage or rent, and transfers to missions. The converter keeps every line as the bank printed it, so you can match each deposit to the counting sheet or giving report.

Illustration with sample figures. Fund classes are assigned in QuickBooks after import; the .qbo file carries date, payee, amount and check number.

When a church ends up holding PDF statements instead of a bank feed

Bank feeds only reach back so far, and they only exist for accounts someone connected. These are the jobs that land on a treasurer's desk with a folder of PDFs.

01

A new treasurer takes over

The outgoing treasurer kept a spreadsheet or an old Desktop file. You have the bank statements and need clean QuickBooks books from the start of the fiscal year.

02

The finance committee wants monthly reports

Elders or the finance team expect a statement of activity and fund balances each month, which means every account reconciled first.

03

An annual review or audit is coming

A CPA review, a denomination report or a lender for a building loan asks for reconciled books for the past year or two.

04

The building fund lives at another bank

Savings, a CD or a capital campaign account was never connected to QuickBooks, so those months exist only as statements.

05

A church plant moves to QuickBooks Online

Two years of activity sit in a personal-style spreadsheet and the bank only lets you download recent months.

06

A bookkeeper serves several churches

Each congregation emails PDFs at month end. Converting them is faster than asking volunteers for bank logins.

How church statement lines map in QuickBooks

Classes are how QuickBooks Online tracks funds. Intuit's fund accounting article describes using class tracking and banking sub-accounts for individual funds. Class tracking is in QuickBooks Online Plus and Advanced, not Simple Start or Essentials, and Plus allows up to 40 classes and locations combined.

QuickBooks Desktop has classes in every edition, and the Premier and Enterprise nonprofit editions add nonprofit report names.

How to import church bank statements into QuickBooks

1

Set up accounts and fund classes

One QuickBooks account per bank account (operating checking, building savings, any CD). Turn on classes and create one per designated fund.

2

Convert each statement PDF

Drop the statement in the converter. Check that deposits minus withdrawals equal the change in balance before you download.

3

Import into the matching account

Upload from file in QuickBooks Online, Web Connect in Desktop, or IIF for Desktop 2023 and older releases.

4

Assign funds and reconcile

Categorize each line, add the fund class, split giving payouts by fund and reconcile to the ending balance.

Work oldest month first. QuickBooks reconciles one statement at a time, and a clean starting balance in month one keeps every later month honest.

What the finance committee packet needs each month

Most church finance policies ask for the same short list. Every item depends on the bank activity being in QuickBooks first.

  • Bank reconciliation report for each account, signed by someone other than the person who writes checks
  • Statement of activity (profit and loss) by class, so each fund shows its own giving and spending
  • Statement of financial position (balance sheet) with fund balances
  • Budget versus actual for the general fund
  • Copies of the bank statements themselves, matched to the reconciliations

Year end adds giving statements. IRS Publication 1771 says donors need a written acknowledgment for any single gift of $250 or more, and a church must give a written disclosure when someone pays more than $75 and receives goods or services in return. Those come from your giving records, but they only tie out when deposits are reconciled.

Bank feed, CSV upload or PDF to QBO for church books

Use the bank feed where it works. Use a converter for the months and accounts it cannot reach.

QuickBooks for churches questions

Can QuickBooks be used for churches?

Yes. Many churches run their books in QuickBooks Online or Desktop by treating each bank account as a QuickBooks account and each designated fund as a class. Donor records usually stay in the giving or church management platform, and QuickBooks holds the general ledger, reconciliations and fund reports.

Which QuickBooks is best for churches?

QuickBooks Online Plus is the usual choice, because class tracking for funds starts at Plus and volunteers can sign in from anywhere. Churches with more than 40 funds and locations combined need Advanced. Desktop still works, but Intuit discontinued the 2023 releases on May 31, 2026, including Web Connect.

How do I track designated funds in QuickBooks?

Turn on class tracking and create a class for each fund, such as general, building, missions and benevolence. Tag every income and expense line with its class, then run the profit and loss by class to see each fund's activity. Intuit's fund accounting article also suggests banking sub-accounts for funds held separately.

How do I import church bank statements into QuickBooks?

Convert each PDF statement to a .qbo file, then import it into the matching account with Upload from file in QuickBooks Online or Web Connect in Desktop. Start with the oldest month, assign fund classes as you categorize, and reconcile to the statement's ending balance before importing the next month.

How do I record online giving deposits in QuickBooks?

Record the payout as a deposit split by fund using the giving platform's payout report. If the platform deducted processing fees before paying out, enter the gross gifts as contributions and add a negative line for the fees, so the deposit equals what the bank statement shows.

Do churches have to reconcile every bank account monthly?

It is the standard internal control in church finance policies and what reviewers and denominations expect. Reconcile operating, savings, building fund and any CD each month, and have someone who does not sign checks review the reconciliation. Converted statements make catching up missed months practical.

Can I convert scanned or photographed church statements?

Yes. Scanned PDFs and photos of paper statements are read too, which helps when an older treasurer kept paper files. Check the converted rows against the ending balance on screen before downloading, because faded scans are where misreads happen.

How much does it cost to convert church bank statements?

Starter is $49 a month for 50 documents, Plus is $149 for 200 and Pro is $499 for unlimited, with yearly billing at half the monthly rate. A church with checking and a building savings account produces about 24 statements a year, and you can convert one statement before creating an account.
