For electricians, electrical contractors and their bookkeepers

QuickBooks for Electrical Contractors and Electricians from PDF Bank Statements

Turn the checking and card statements behind your shop into .qbo files QuickBooks imports in one step. Supply house payments, permit fees, fuel, payroll and customer deposits land in the right register, ready to assign to jobs and reconcile before your CPA, your surety or the IRS asks.

Convert an electrical shop statement

Drop the monthly PDF, check rows against the ending balance, download .qbo or IIF.

No credit card required to try your first statement.

Quick answer

QuickBooks works for electrical contractors when every bank and card account is its own QuickBooks account and every job is a customer or project. Field service software can push invoices and payments, but the bank side still has to be complete. For months you only hold as PDF statements, convert each one to a .qbo file, import it, assign costs to jobs and reconcile to the ending balance.

One supply house payment, three jobs

Your bank statement shows a single payment to the distributor at month end. Behind it sit wire, conduit, breakers and fixtures pulled for several jobs. Book it as one lump to "materials" and job costing is gone for the month, along with any chance of seeing which bids lost money.

The converter keeps the line exactly as the bank printed it, with date and amount. In QuickBooks you split it across jobs using the distributor's invoice detail, so the payment still matches the bank and each job carries its real material cost.

When an electrical shop ends up with PDF statements instead of a bank feed

A bank feed covers accounts someone connected, from the day they connected them, and only as far back as the bank allows. These are the jobs that arrive as a folder of PDFs.

Bonding or a bigger bond line

Your surety wants year-end financials and a work in progress schedule. Neither means anything until every bank and card account is reconciled for the full year.

Tax season, books behind

The year ran through the operating account and two cards. Your CPA wants a clean profit and loss and the bank only offers recent months as a download.

Moving off a spreadsheet

A two-truck shop outgrew the spreadsheet. You are starting QuickBooks now and want this year in it from January, not from today.

Desktop Contractor edition users

Intuit stopped selling new QuickBooks Desktop Premier Plus subscriptions in the US on September 30, 2024. Shops moving to Online or Enterprise need the gap months imported.

Supply house and fuel on a personal card

Materials and fuel went on a personal card during a slow month. Convert the statement and pull only the business lines into the books.

A bookkeeper takes on trades clients

Electrical clients email PDFs at year end and will not share bank logins. Converting statements is faster than chasing access.

How electrical contractor statement lines map in QuickBooks

Set each job up as a customer or a project, then assign every cost line to one. In QuickBooks Online, Projects are part of Plus and Advanced. QuickBooks Desktop tracks jobs under customers in every edition.

Job costing only works if the costs reach the job. Statement lines that stay unassigned end up in overhead and make every job look more profitable than it was.

How to import electrical contractor bank activity into QuickBooks from PDF statements

1

Set up accounts and jobs

One QuickBooks account per bank account and card. Create a customer or project for each open job.

2

Convert each statement PDF

Drop the statement in the converter. Check that deposits minus withdrawals equal the change in balance before you download.

3

Import into the matching account

Upload from file in QuickBooks Online, Web Connect in Desktop, or IIF for Desktop 2023 and older releases.

4

Assign jobs and reconcile

Match payments to bills, assign materials and permits to jobs, then reconcile to the ending balance.

Work oldest month first. QuickBooks reconciles one statement at a time, and a clean opening balance in month one keeps every later month honest.

What has to tie out before your surety or CPA sees the books

Surety underwriters read your financial statements and your work in progress schedule side by side. The WIP shows each open job's contract, costs to date and billings, and the over and under billings on it should agree with the balance sheet. QuickBooks does not build a surety-ready WIP on its own, but every number in it starts with costs posted to the right job from reconciled accounts.

  • Every bank and card account is reconciled for all 12 months
  • Supply house payments are matched to bills, not booked twice
  • Materials, permits and subcontractor costs are assigned to jobs
  • Customer payments and retainage sit against the right invoices
  • Owner draws and personal spending are outside the profit and loss

Bank feed, field service app or PDF to QBO for an electrical shop

These cover different halves of the books. Field service software such as ServiceTitan, Housecall Pro or Jobber sends invoices and customer payments to QuickBooks. The bank feed brings current bank lines. A converter covers the months and accounts neither one reaches.

QuickBooks for electrical contractors questions

Is QuickBooks good for electrical contractors?

Yes, for the accounting side. QuickBooks handles bills, invoices, payroll, reconciliations and job profit and loss for most residential and small commercial electrical shops. Dispatching, estimating and service agreements usually live in field service software that syncs to QuickBooks, so the two work as a pair.

Which QuickBooks is best for electricians?

QuickBooks Online Plus is the usual pick, because Projects and job profitability reports start at Plus. Shops with many users or heavy inventory look at Online Advanced or Desktop Enterprise. New US subscriptions to Desktop Premier Plus, which included the Contractor edition, stopped on September 30, 2024.

How do electrical contractors do job costing in QuickBooks?

Create each job as a customer or project, then assign every cost to it: materials from supply house bills, labor from payroll or time entries, permits and subcontractors. Run the job profitability or profit and loss by customer report. Costs left unassigned on imported bank lines are the usual gap.

Does ServiceTitan or Housecall Pro replace bank statements in QuickBooks?

No. Field service apps send invoices and customer payments to QuickBooks, which covers revenue. Bank and card activity, such as supply house payments, fuel, loan payments and owner draws, still has to come from the bank feed or the statements, and every account still has to be reconciled.

Can I import supply house card statements into QuickBooks?

Yes, if the account is a credit card. Choose the credit card type and the file imports into a QuickBooks credit card account with purchases as charges and payments as payments. A distributor's open trade account is different: those are vendor bills, and the bank statement shows only your payments to them.

How much does it cost to convert electrical contractor statements?

Starter is $49 a month for 50 documents, Plus is $149 for 200 and Pro is $499 for unlimited, with yearly billing at half the monthly rate. A shop with one checking account and two cards produces about 36 statements a year, and you can convert one statement before creating an account.
